The Challenge:

VUKA Group needed a sophisticated approach to data and reduce their reliance on manual processing using spreadsheets. Reports and insight were generated from scratch in Excel each time, requiring significant manual effort while being tightly restricted on data volumes and challenged by data silos.

VUKA emphasises customer-facing projects and initiatives over internal measurement and business intelligence efforts, resulting in resource allocation reflecting this prioritization. VUKA began to experience a growing impact on its ability to comprehend and enhance its operational efficiency, which echoed throughout the entire company.

One example was understanding Sales Pacing against targets for long-term projects. This was critical to inform financial planning but impossible with the existing infrastructure. Another such instance was aligning CRM and Finance data to ensure accurate invoicing.

With Datalab’s help, VUKA was able to set up automated data pipelines to power both daily operational and financial reporting, as well as external client reporting for brands they manage.

The Solution:

The VUKA team recognized the necessity of investing in an improved data strategy. Initially, their priority was to concentrate on their core operations and construct a scalable platform that could facilitate reporting and analytics across all organizational functions. The initial phase involved the automation of previously manual reports through the implementation of a robust platform. This automation promised to reclaim valuable time for the team, enhance the precision of metrics, and empower them to engage with data in more advanced and well-informed ways.

The automated data platform was envisioned as cloud-based, cost-efficient, and adaptable to accommodate the ever-growing volumes of data. The intended solution aimed to expedite the time required to gain insights, eliminate the potential for human error, and enable in-depth analysis and data-driven decision-making processes.

The Results

  1. Optimized Workforce
    1. VUKA used to perform operational reporting by manually copying and pasting data from various sources (HubSpot, Google Sheets, Google Analytics, Xero, etc.) into spreadsheets. This data was then manually processed for critical reporting and analysis. However, by working with the Datalab Team, these slow and labor-intensive processes were replaced with automated, reliable, and scheduled runs multiple times a day. This resulted in accurate and timely reports without the need for human intervention.
  1. Trust in the numbers
    1. Trust in crucial operational decision-making data has greatly increased. Outdated metric calculations, previously buried in spreadsheets, failed to keep pace with the evolving business landscape. Creating a modern data platform highlighted these issues, enabling the finance team to implement automated data quality checks and integrate feedback into operational processes.
  1. Capable Platform
    1. VUKA was thrilled by the scalability of the data platform and the cloud data warehouse, envisioning numerous possibilities for data exploration. The foundational work has been completed, and the operational use case has demonstrated its effectiveness. With the team in place, the data-driven output is creating value and gaining support throughout the organization.
  1. Meaningful Data
    1. VUKA aimed to attract and empower analysts with modern technology. Prior to this, assigning analysts manual report creation was demotivating and restricted their ability to deliver valuable insights due to time spent on report building and validation. Now, analysts can dedicate their time and expertise to forecasting and offering data-driven product insights to the business The reporting cycle, once weekly, has transitioned to 3x per day, instilling full confidence in the data's accuracy. Our analysts now concentrate on demand forecasting and product attribute analysis, shaping a forward-looking industry perspective and uncovering growth trends.
  1. Best Practice & Mentorship
    1. VUKA were able to rely on Datalab to provide technology training, data warehouse architecture and data modelling best practice guidance as VUKA ramp up their usage of their modern cloud data platform.
